Adding downloadable documents with the File block

wordpress

The File block adds a document link and, where supported, a download button or PDF preview. Use it for public material such as brochures and guides, and check the file itself as carefully as the page linking to it.

01 Prepare a suitable document

Remove private notes, tracked changes, hidden personal data and outdated contact details before uploading. Choose a descriptive filename and provide an accessible document format where possible. A scanned image-only PDF may be difficult to search or use with assistive technology.

Media Library files are commonly accessible by their direct URL. Putting the link on a password-protected page does not by itself protect the uploaded file from someone who already has that URL. Use a proper protected-delivery workflow for sensitive documents.

02 Add the file to the page

  1. Insert a File block and upload the approved file or select the correct existing Media Library item.
  2. Replace the visible link label with a useful description. Include the format and approximate size when that helps visitors decide whether to download.
  3. Review the download button and preview settings offered for the file type.
  4. Save the draft and test the link before publishing.

03 Verify delivery and usability

Open the page while signed out and follow the file link. Confirm that the downloaded document is the intended version, has a sensible filename and opens correctly on a phone or another viewer. A successful page preview does not prove the file contents are current.

If a PDF preview takes too much space or is difficult to use on a small screen, keep a clear direct link and consider disabling the inline preview. Provide important summary information as page text so visitors do not have to download a document for a simple answer.

How should I replace an outdated downloadable document?

Uploading a new file may create a different URL. Update every relevant link and decide what should happen to the old public version. Deleting it can break links in emails and external websites, while leaving it available may expose obsolete information. Keep a version record and choose a deliberate replacement or redirect strategy.
